The ONTrac at Peter Mac Victorian Adolescent and Young Adult (AYA) Cancer Service recognises that young people are the most powerful advocates for their own needs, and deserve the right to play an active role in shaping the services they access and influencing policies and research priorities relevant to them. We support young people in a range of ways to use their voice and experience to influence how we and other health services across Victoria and Tasmania deliver care to young people and their families.
HOW DOES IT WORK?
ONTrac at Peter Mac’s Youth Cancer Action Network is a diverse group of young people connected through their shared experience of cancer and a desire to improve the experience for others and reduce the impacts of cancer and its treatment on young lives. They are empowered and supported to take on formal and informal roles as youth representatives who provide advice and guidance on youth-related cancer programs and initiatives.
The Network is made up of the Youth Cancer Action Board (YCAB) and the Youth Cancer Action Advocates (YCAA). Each offer different opportunities to contribute to the improvement of experiences, services and outcomes for young people with cancer now and into the future.
VIC/TAS Youth Cancer Action Board (YCAB)
YCAB is a 12-member board of young people who have had a diagnosis of cancer between the ages of 15 and 25 years. They provide advice and guidance to government and the broader health and community sectors on cancer policy, priorities and services affecting Victorian and Tasmanian youth. Some of their activities and achievements include:
- Developing position statements to influence health policy and services in areas deemed important by young people, such as fertility preservation, , and mental health and wellbeing.
- Co-designing youth-friendly hospital environments like the Youth Cancer Centre and other patient areas at Peter MacCallum Cancer Centre, and an AYA room at the Royal Hobart Hospital
- Advising on services and programs relevant to young people (e.g. the Victorian Fertility Preservation Service, the CanEAT Pathway)
- Guiding the development of age-appropriate resources like Thinking ahead, Getting to grips with general practice, Being ok….being you, Can-Sleep (coming soon) and ReGenerate (coming soon)
- Contributing content to and advising on the development of health professional education and training programs like the University of Melbourne’s Graduate Certificate in Adolescent Health & Wellbeing (Oncology) and eviQ’s online modules on AYA cancer care for nurses
- Raising awareness of cancer in young people through presentations, media appearances and other opportunities
Appointments to the Board are made through a formal application and interview process and require a regular commitment of time. YCAB meets 6 times per year, both remotely and in person in the Youth Cancer Centre at Peter Mac in Melbourne.
MORE ON YCAB
Established in 2010, the purpose of YCAB is to provide advice and guidance to the ONTrac at Peter Mac Victorian AYA Cancer Service, the Victorian Government and the broader health and community sectors on:
- models of cancer care, services and referral pathways for young people in Victoria and Tasmania
- the environments in which young people are treated
- strategies to support clinicians and the broader health workforce in addressing the needs of AYA with cancer
- research relating to young people affected by cancer
The Board’s activities are a combination of healthcare sector-driven initiatives (i.e. those seeking YCAB’s advice and guidance in areas such as those listed above) and youth-led initiatives (i.e. those identified by YCAB and in consultation with other young people as being of priority and importance). YCAB’s current vision and mission as determined by members is “To improve the lives of young people and their families who are affected by cancer.”
YCAB is comprised of 12 young people who were diagnosed with cancer between 15 and 25 years of age. Members currently reside in Victoria or Tasmania but may have been treated elsewhere. They are appointed for a 3-year term.
As the Board aims to serve as the collective voice of AYA with cancer, it seeks to be broadly representative of the diversity of young people and treatment experiences in terms of age, gender identity, cultural background, diagnosis, location of care, area of residence and other attributes. Recruitment of new Board members occurs mid-year and/or end of year depending on vacancies, though young people are invited to register their interest anytime via the link below. Applicants are eligible to join YCAB up until their 26th birthday.
YCAB is governed by Peter MacCallum Cancer Centre (Peter Mac) and reports to the ONTrac at Peter Mac Victorian AYA Cancer Service, who in turn reports to the Victorian Department of Health. YCAB also holds a seat on the state-wide Adolescent and Young Adult Advisory Committee.
The Board meets 6 times per year both remotely and in person in the Youth Cancer Centre at Peter Mac in Melbourne, alternating between 2-hour weeknight meetings and 5-hour Saturday meetings.
Board sub-committees may be established as required and may involve attendance at additional meetings. Between-meeting communication is via email and the YCAB Facebook page. Members also have access to a Google Drive as an archival tool for all YCAB documents.
YCAB is led by two members who serve as Co-Chairs, with support from the ONTrac at Peter Mac Youth Participation Coordinator and Facilitators. Co-Chairs share equal responsibility for Board operation and ideally serve for a 2-year term, with eligibility following a minimum of one year as a YCAB member.
Members of YCAB undertake to:
- Represent young people affected by cancer in Victoria and Tasmania
- Provide advice about AYA oncology/issues/services with the support of the ONTrac at Peter Mac Victorian AYA Cancer Service
- Read all correspondence prior to meetings
- Communicate via email and/or YCAB Facebook group in between meetings as required
- Maintain confidentiality of member information, meeting content and documents circulated and seek permission prior to engaging in discussions with other agencies throughout the term of membership
- Notify Co-chairs and the ONTrac at Peter Mac AYA Cancer Service of any requests for media correspondence or interaction with stakeholders before official business takes place
- Act in the best interest of the Board by upholding the values and culture as agreed by the Board in situations where one’s actions will reflect on the Board
- Represent the views of the Board rather than the individual when acting on behalf of the Board, and disclose any relevant engagements/activities external to the Board to establish one’s representation in these engagements/activities as an individual rather than a Board representative, unless explicit endorsement from the Board has been provided
- Attend all meetings and provide apologies if not attending as early as possible
- Adhere to the Board’s Terms of Reference and Operational Guidelines
The ONTrac at Peter Mac Victorian AYA Cancer Service undertakes to:
- Provide administration support for preparing meeting agendas and minutes
- Assist in facilitation of meetings
- Provide education, training and mentoring to YCAB to enable them to fulfil their roles as advocates and members
- Arrange and finance travel, venues, accommodation and food to ensure that there are no out-of-pocket expenses incurred by members of the Board
- Ensure consistent communication between the Board, Peter Mac and the Victorian Department of Health
- Disseminate all communications as appropriate and provide additional support as required
It is every YCAB and ONTrac at Peter Mac staff member’s responsibility to contribute to an environment where everyone feels safe, supported, included and respected.
Board members are provided with annual training in the following areas as a means of developing knowledge and transferrable skills to support them in their role:
- The meaning of youth advocacy
- The AYA cancer context and services supporting young people with cancer and their family
- The components of Board governance, including how to: chair a meeting, prepare an agenda, record minutes and communicate outcomes
- Additional topics as requested by the Board
The ONTrac at Peter Mac Victorian AYA Cancer Service also recognises that young people may encounter emotionally triggering situations as part of their membership on the Board (e.g. meeting discussions they find confronting or a fellow Board member becoming unwell), and have clear, discrete processes in place for raising concerns and receiving individualised or whole-Board support as required.
The YCAA aims to actively and effectively contribute to improved experiences and outcomes for young people with cancer and their support networks. It was established in 2020 as an additional mechanism to the Youth Cancer Action Board (YCAB) for young peoples’ engagement in the design, delivery and evaluation of AYA cancer services and initiatives.
While YCAB members act as a collective in representing the views of young people, YCAA members take on roles as individual consumers in advising and guiding the ONTrac at Peter Mac Victorian AYA Cancer Service, the Victorian Government and the broader health and community sectors on all things related to youth cancer, or in otherwise contributing to discussions that affect young people with a cancer experience. This may be through formal or informal roles/opportunities, such as:
- Completing surveys
- Participating in individual interviews or focus groups/group interviews
- Telling your story through public speaking or media opportunities
- Attending Youth Cancer Action meet-ups or forums
- Assisting with the development of resources/information
- Participating in research
- Providing feedback on health services or other initiatives for young people
- Being a representative on a board, committee or working group
- Assisting with the development or delivery of education and training for healthcare professionals
Members opt into specific projects or opportunities based on their availability and interests.
YCAA is comprised of young people who were diagnosed with cancer between 15 and 25 years of age, and who are within 5 years of diagnosis and/or treatment.
YCAA are eligible for membership for any length of time, up until their 30th birthday. They may be previous YCAB members who have completed their term and/or feel they would like a more flexible approach to engagement, young people who applied for YCAB but were unsuccessful in obtaining a position, or any other young person wishing to engage in advocacy work in this way.
There is no formal recruitment process for YCAA; young people are invited to register their interest anytime via the link below. Offer of membership is initiated by the ONTrac at Peter Mac Youth Participation Coordinator and/or Facilitator as appropriate.
YCAA is governed by Peter MacCallum Cancer Centre (Peter Mac) and reports to the ONTrac at Peter Mac Victorian AYA Cancer Service, who in turn reports to the Victorian Department of Health.
There are no formal, regular meetings for the YCAA. Opportunities are identified or received by the ONTrac at Peter Mac team before being triaged and offered to YCAA members on the basis of their stated availability and interests, or via an e-newsletter. The e-newsletter may also be used to advise of opportunities to engage with other YCAA members and YCAB, education and training and other information that may be of interest.
Once engaged in an activity, communication occurs between the individual YCAA member, ONTrac at Peter Mac Youth Participation Coordinator and/or Facilitator as needed, based on the parameters of the activity and support required for the YCAA member. Communication may be via email, phone or face-to-face/virtual meetings as required.
YCAA is supported by the ONTrac at Peter Mac Victorian AYA Cancer Service’s Youth Participation Coordinator and Facilitator.
Members of YCAA undertake to:
- Represent young people affected by cancer in Victoria and Tasmania in their capacity as individual consumers
- Participate in youth engagement roles or opportunities in ways that align with their availability and areas of interest, which may include liaison and/or collaboration with YCAB or other YCAA members
The ONTrac at Peter Mac Victorian AYA Cancer Service undertakes to:
- Provide education, training and mentoring to the collective YCAA to enable them to fulfil their roles as advocates and members
- Arrange and finance travel, venues, accommodation and food to ensure that there are no out-of-pocket expenses incurred by YCAA members
- Disseminate all communications as appropriate and provide additional support as required
YCAA members are provided with tailored education and training as needed to support them in their advocacy role, and as a means of developing knowledge and transferrable skills. This may occur at any point in their term of office, as the need arises. Topics may include but are not limited to: the AYA cancer context and services supporting young people with cancer and their family, and the meaning of youth advocacy.
The ONTrac at Peter Mac Victorian AYA Cancer Service also recognises that there may be occasions when a YCAA member may become distressed as a consequence of emotionally triggering discussions or materials, or themselves or another member becoming unwell. In such circumstances, the ONTrac at Peter Mac Youth Participation Coordinator will provide tailored emotional support and suitable referral pathways as required.
